Job Summary
Our client, who is in the healthcare and hospital services industry, is seeking an Executive Assistant to provide high-level administrative and organizational support to the Chief Executive Officer (CEO) and the Top Management Team (TMT). The Executive Assistant will be responsible for managing executive schedules, coordinating meetings, preparing reports, handling correspondence, and supporting strategic projects. The ideal candidate is highly organized, proactive, discreet, and capable of working in a fast-paced environment while maintaining professionalism and confidentiality.
Responsibilities
Provide comprehensive administrative support to the CEO and TMT, including managing calendars, scheduling meetings, making travel arrangements, and preparing agendas and minutes.
Act as a liaison between top management and internal/external stakeholders, including partners, suppliers, vendors, and donors.
Draft, proofread, and prepare correspondence, reports, and presentations.
Maintain organized records, files, and data while ensuring confidentiality of sensitive information.
Support preparation of weekly, monthly, quarterly, and annual reports and presentations.
Assist in project coordination, monitoring progress, and tracking outcomes for strategic and operational initiatives.
Manage procurement of office supplies, handle invoices, and provide basic book-keeping support.
Oversee communication flow, ensuring timely review and follow-up of internal memos and external communications.
Support in event logistics, meeting coordination, and other administrative functions as required.
Perform any additional tasks as assigned by the CEO or TMT.
Bachelor’s degree in Business Administration, Office Management, Healthcare Administration, Public Health, or a related field.
At least 7 years of proven experience in executive or administrative support, preferably in a healthcare or hospital environment.
Strong organizational, multitasking, and time management skills with the ability to prioritize under pressure.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and familiarity with ERP or hospital management systems.
Knowledge of labor laws and healthcare compliance requirements.
Strong written and verbal communication skills, with excellent attention to detail.
Ability to handle confidential information with discretion and integrity.
Basic accounting or budget management knowledge is an added advantage.
Proactive, resourceful, and able to work both independently and collaboratively.
