Our Client, a company operating within the logistics industry, is seeking a motivated and professional Receptionist to support front-office operations while providing administrative and customer service assistance. The role will involve managing reception activities, handling client communication, and supporting daily administrative functions to ensure smooth office operations. Responsibilities:
- Greet and welcome visitors, clients, and partners in a professional and friendly manner.
- Manage the reception area and ensure it remains organized, presentable, and welcoming at all times.
- Handle incoming phone calls, emails, and general inquiries, providing accurate information or directing them to the relevant departments.
- Provide excellent customer service by assisting clients with inquiries related to company services and ensuring their needs are addressed promptly.
- Maintain visitor logs and ensure adherence to office security and safety procedures.
- Schedule appointments, coordinate meetings, and assist with managing staff calendars where required.
- Perform administrative duties including filing, document preparation, data entry, photocopying, scanning, and maintaining records.
- Maintain office supplies inventory and coordinate procurement when necessary.
- Assist with preparing reports, documents, and other administrative materials as requested by management.
- Maintain organized client contact records and assist in documenting client interactions and service requests.
- Professionally engage with clients and visitors to understand their needs and relay relevant information to the appropriate team members.
- Identify and note potential client inquiries or service interests and forward them to the relevant department for follow-up.
- Monitor transit times and proactively update customers on progress by providing feedback on clearance and delivery status in coordination with global counterparts.
